How Communication Improves Loss Prevention in Retail Stores

Par
Nayomie Spence-Lees

Anyone who has been a retail security guard in a multi-level store knows one thing: things can happen fast.

A suspicious customer spotted on the top floor can be at the front exit in less than a minute. A medical emergency in one department can require support from guards stationed on the other side of the building. Even something as simple as helping a lost child find their parent can quickly become a team effort.

That's why communication is one of the most important skills a retail security guard can have.

While experience, observation skills, and professionalism are all essential, none of them matter much if information isn't being shared quickly and accurately between team members. In large retail environments, communication keeps everyone connected, informed, and ready to respond when situations develop.

The Reality of Multi-Level Retail Security

Multi-level stores create challenges that don't exist in smaller retail locations.

Unlike a single-floor store where guards can often see most of the sales floor, larger retail environments can often have multiple entrances, elevators, departments, and blind spots.

Guards are frequently spread throughout the building, covering different areas and performing different tasks. Because of this, no single guard has the complete picture.

A guard conducting a patrol on the upper level may notice suspicious behaviour that another guard near the entrance can't see. Likewise, a guard responding to a customer issue on the main floor may not be aware of a developing situation elsewhere in the store.

Without strong communication, these small gaps in awareness can become bigger problems.

Radios Matter More Than You Think

The humble, two-way radio remains one of the most valuable tools for a retail security guard.

When something happens, guards don't have time to send text messages or make phone calls. They need to communicate instantly.

Whether it's reporting suspicious behaviour, requesting assistance, or responding to an emergency, radios allow information to move quickly throughout the store.

An incident happened recently at a multi-level retail store in Vancouver that demonstrated the effectiveness of the radio.

We deployed a tactical guard and a loss prevention officer (LPO) to this site. The tactical guard was about to take his break when the LPO radioed to him that a subject, who had placed unpaid merchandise in her bag, was approaching the exit where the tactical guard was last stationed. The guard quickly returned to his post and his presence at the exit convinced the subject to quietly place the items back on a nearby shelf.

This recovery of over $200 in merchandise would not have happened without teamwork and the trusty ol’ radio.

Communication Creates Situational Awareness

One of the biggest advantages of a well-connected security team is situational awareness.

Here’s another example of Blackbird Security guards recognizing what the situation is and working effectively together to share information in real-time.

A guard observed someone repeatedly entering fitting rooms with large amounts of merchandise. While nothing illegal technically happened, the behaviour clearly raised alarm bells.

Rather than keeping that information to themselves, the guard notified other security guards in the store and provided a description of the individual. Guards on other floors were able to monitor the suspect’s movement, and guards posted near exits were fully aware, if the situation were to escalate.

Ultimately, nothing ended up happening, but that’s not the point. What matters is that no one jumped to conclusions. Instead, the team did its job by simply sharing observations and maintaining situational awareness.

This kind of communication helps security teams stay proactive rather than reactive.

Working Together with Store Management

Communication doesn't stop with the security team. One of the most important parts of protecting a multi-level retail store is maintaining strong communication with store management and the retailer's internal security or loss prevention teams.

Security guards are often the first to notice suspicious behaviour, safety hazards, or operational issues, but store employees may observe things that security guards don't. By sharing information regularly, both teams gain a clearer picture of what's happening throughout the store.

For example, store staff may alert security to a repeat shoplifting suspect who has entered the building or notify guards about a customer becoming increasingly confrontational. Likewise, security guards can keep managers informed about suspicious activity, safety concerns, or incidents that may require operational changes, such as temporarily closing an area or increasing patrols in a particular department.

Ultimately, effective retail security is a team effort. When security guards, store management, and internal loss prevention personnel work together and keep each other informed, they create a safer environment for customers, employees, and the business as a whole.

What Effective Loss Prevention in Retail Stores Looks Like

The best way to guard multi-level retail stores is through a comprehensive loss prevention strategy that includes retail security guards and LPOs. The best retail loss prevention strategies usually include:

  • Professional LPOs who understand how to identify and document internal theft without disrupting the customer experience.
  • A visible security presence that is situationally aware of what's going on inside the store.
  • Internal and external security teams and loss prevention officers that are in constant communication about suspicious behaviour and people.

The Role of Professional Retail Security in Loss Prevention

Loss prevention and retail security professionals offer expertise and objectivity that regular staff may not have. At Blackbird Security, our retail guards and LPOs are trained to spot signs of internal theft, document incidents comprehensively, and follow the legal steps needed for disciplinary action or prosecution.

We work with some of Canada’s top brands, including H&M, Sephora, UNIQLO, Best Buy, and MEC, to provide retail security and loss prevention at their top locations across the country. Our guards are trained in customer service, conflict resolution, peaceful de-escalation, reporting, and Canadian criminal law through our in-house training program, Blackbird Academy.

While completely eliminating retail shrinkage is virtually impossible, the right loss prevention strategy can significantly reduce losses. The cost of professional retail security services is almost always less than the cost of the losses they prevent.

Frequently Asked Questions About Loss Prevention in Retail Stores

What is loss prevention in retail?

Loss prevention in retail means using strategies, policies, and security to reduce shrinkage, which is the loss of inventory or revenue outside of normal sales. This includes external theft, employee theft, administrative errors, and vendor fraud.

How do I cover blind spots in my retail store?

Employing trained security guards and loss prevention officers is one of the most effective ways to monitor blind spots that cameras can't fully cover. Regular patrols of stairwells, upper floors, stockrooms, and other low-visibility areas help deter theft, respond to suspicious activity, and improve overall store safety.

What are the hidden costs of poor loss prevention in retail stores?

In addition to the value of stolen goods, poor loss prevention also leads to costs such as inaccurate inventory, disruptions, lower staff morale, legal and HR expenses, and damage to your store’s reputation. These costs are often harder to measure but can be just as serious as direct losses, if not more so.

How can I prevent merchandise theft in my multi-level store?

Preventing merchandise theft starts with a layered security strategy that includes trained security guards and loss prevention officers, visible surveillance, and regular patrols across every level of the store. A strong security presence helps deter shoplifters, monitor high-risk areas and blind spots, and respond quickly to suspicious activity before incidents escalate.
